About Stapha

Stapha is a hiring and matching platform for UK social care, operated by Stapha Ltd ([company number to be inserted]), registered in England and Wales (“Stapha”, “we”, “us”). These Terms of Service govern your access to and use of the Stapha platform, including the website at stapha.co.uk and all associated services.

By creating an account or using the platform, you agree to these terms. If you do not agree, do not use the platform.

Eligibility

You must be at least 18 years old to use Stapha. By registering, you confirm that:

  • You are 18 or over.
  • The information you provide during registration is accurate and up to date.
  • You will keep your account credentials secure and not share them with anyone else.
  • You are based in the United Kingdom, or are accessing the platform in connection with UK-based employment.

Care worker accounts

As a care worker using Stapha to find employment, you agree to:

  • Provide accurate information on your profile, including your employment history, qualifications, and right-to-work status.
  • Only upload documents that you have the right to use (e.g. your own passport photo, your own CV).
  • Not misrepresent your qualifications, experience, or right to work in the UK.
  • Not submit applications for roles you know you are ineligible for.
  • Employer reviews submitted through the platform must be honest and based on genuine experience. Reviews that are defamatory, fabricated, or submitted in bad faith may be removed.

Your Compliance Passport data is stored securely and shared only with employers you explicitly apply to. You can revoke employer access at any time through your account settings.

Employer accounts

As an employer using Stapha to hire care workers, you agree to:

  • Provide accurate information about your organisation, care homes, and job listings.
  • Only post genuine, lawful job opportunities. Roles must comply with the National Minimum Wage, working time regulations, and all other applicable employment law.
  • Not use candidate data for any purpose other than assessing suitability for the role applied for.
  • Delete or anonymise data about unsuccessful candidates within 6 months of a recruitment process concluding, in line with ICO guidance.
  • Not contact candidates through channels outside the platform without their explicit consent.
  • Comply with the Equality Act 2010 — you must not discriminate against candidates on the basis of a protected characteristic.

Access to a candidate's Compliance Passport is granted by the candidate when they apply. You must not attempt to access, retain, or copy passport documents beyond what is necessary for the hiring decision.

Compliance Passport

The Compliance Passport is a secure document store within Stapha that allows candidates to hold and selectively share compliance documents (such as right-to-work evidence, DBS certificates, and training records) with prospective employers.

  • Stapha does not automatically verify the authenticity of documents uploaded to the Passport. Right-to-work and care experience submissions are reviewed manually by Stapha staff before the relevant item is marked as verified.
  • Employers relying on the Compliance Passport remain responsible for satisfying their own legal obligations — including conducting right-to-work checks — before an individual begins work.
  • Stapha accepts no liability for hiring decisions made on the basis of Passport data.

Prohibited uses

You must not use Stapha to:

  • Scrape, harvest, or systematically collect data from the platform.
  • Post fraudulent job listings or candidate profiles.
  • Attempt to reverse-engineer, decompile, or interfere with the platform.
  • Use automated tools, bots, or scripts to interact with the platform.
  • Harass, abuse, or threaten other users.
  • Violate any applicable law or regulation.

Intellectual property

The Stapha platform, including its design, software, and content, is owned by Stapha Ltd and protected by copyright and other intellectual property laws. You may not copy, distribute, or create derivative works from any part of the platform without our written permission.

You retain ownership of content you upload (profile information, documents, reviews). By uploading it, you grant Stapha a limited licence to store and display it as necessary to operate the service.

Limitation of liability

Stapha is provided “as is.” To the extent permitted by law, we exclude all warranties, express or implied. We do not guarantee that the platform will be available at all times or that it will be free from errors.

Stapha is not a party to any employment contract between a candidate and an employer. We are not liable for any loss arising from hiring decisions, unsuccessful applications, or disputes between users.

Our total liability to you for any claim arising out of or in connection with these terms shall not exceed the total fees paid by you to Stapha in the 12 months preceding the claim, or £100, whichever is greater.

Nothing in these terms excludes liability for death or personal injury caused by our negligence, fraud, or any other liability that cannot be excluded by law.

Termination

You may delete your account at any time. We may suspend or terminate your account if we reasonably believe you have breached these terms, engaged in fraudulent activity, or caused harm to other users.

On termination, your right to use the platform ceases immediately. We will handle your data in accordance with our Privacy Policy.

Changes to these terms

We may update these terms as the platform evolves. We will notify you of material changes by email at least 14 days before they take effect. Continued use of the platform after that date constitutes acceptance of the updated terms.

Governing law

These terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
